Add a time clock control

At the WEB ADMINISTRATOR in CONTROLS/TIME CLOCK

  1. Click ADD

  2. Select the employer, who can be the subscriber himself or one of the accounts. It is possible to pre-determine common employer parameters that will be applied to all employees. Learn more about it.

  3. Select an user (employee)

  4. Under "Notifications", check the box so that the user will receive the proof of their records by email (recommended). If the user does not have registered email, it is possible to register at this time.

  5. If you wish, add other emails so that they also receive notifications about the user. Fill in the field and click ADD.

  6. Under "Linked checkpoint": If you want the user punches the card in a specific checkpoint, select the account and location. This will not prevent him from punching the card anywhere else. Learn how to register a checkpoint.

  7. The "Worksheet header" is a free field that will be exhibited in the Worksheet report.

  8. Configure the user's work time.

  9. If the case, set up the user's vacations

  10. Optionally, set up the comp time, if this type of time compensation is used.

  11. SAVE

Edit a timecard

Click on the pencil next to the timecard setting to edit it. When a timecard is edited it can be inactivated and replaced with a new control, so that there are no inconsistencies in the employee's past records.

The timecard is inactivated if the time changes. Other changes such as messages, notification emails and compt time do not inactivate the timecard.

View the inactivated timecards on the initial time clock screen, alternating the combo on the right of the screen between active and inactive timecards.

Delete a timecard

Click on the trash can next to the timecard to delete it.

To exclude more than one timecard at the same time, mark the ones you want to exclude and click on "delete selection".

Before the timecard is deleted, it is necessary to point out the reason for the exclusion. So, make sure that batch exclusions are for the same reason.

Work schedule

 

 

Defining a work schedule is not mandatory. However, when defining the time it is possible to receive notifications, monitor and be able to better control the user's time records.

Add a schedule

At the WEB ADMINISTRATOR in CONTROLS/TIME CLOCK/SCHEDULES

  1. Click ADD. A new section called "Schedule details" opens

  2. Select the user's work schedule. On the 12 x 36 scale, the user works 12 hours and rests 36 hours, and the system controls it according to this regime. If you use "WEEKLY" scales, set the days of the week.

  3. Fill in the CLOCK IN 1 and CLOCK OUT 1 schedules (mandatory)

  4. If the user takes a break, check CLOCK IN 2 and CLOCK OUT 2 and fill in the respective fields

  5. SAVE the schedule

  6. The "additional timetable information" is a free field that will be displayed next to the timetable in the timecard in Mobiclock and Mobitraxx PRO

  7. If the user works at night, check that it is in accordance with its regulations and adjust if necessary. It is also possible to deselect the night shift. In this case, the hours are always counted as normal for the purpose of calculating hours.

  8. Set the timeout tolerance time. The minimum legal tolerance is 5 minutes.

  9. Continue on timecard settings.

Edit a schedule

Click on the time to be edited and then click EDIT to proceed with the edits.

WARNING: when editing a timecard, it will be inactivated and a new work time control will be generated. Thus all past records are preserved, and not readjusted to the new schedule in effect.

Delete a schedule

Click on the time to be deleted and then DELETE. As with editing, deleting a time also inactivates the timecard.

Vacations

When launching vacations, the system will handle the reports and notifications accordingly.

Add a vacation period

At the WEB ADMINISTRATOR in CONTROLS/TIME CLOCK/VACATIONS

  1. Click ADD 

  2. Enter the start and end days of vacation. It is not possible to launch holidays for past periods.

  3. SAVE

  4. Contine on timecard settings

Edit vacations

Click on the vacation period to be edited and then click EDIT to make the edits. It is not possible to edit vacation days that have already elapsed.

Delete vacations

Click on the vacation period to be deleted and then DELETE. As with editing, vacation exclusion does not allow you to exclude periods that have already elapsed.

Comp time

More and more companies use the comp time arrangement to manage their human resources. Mobitraxx offers a complete time management system. View hourly balances and all details in the comp time report.

It is only possible to use the comp time for employees with a weekly work schedule.

Comp time set up

At the WEB ADMINISTRATOR in CONTROLS/TIME CLOCK/COMP TIME

  1. Check the COMP TIME checkbox

  2. Enter the number of hours per week according to the legislation of your country or other criteria adopted

  3. Enter the mandatory interval in minutes according to the legislation of your country or other criteria adopted

  4. Compensate work break: check PARTIAL if there is never any work during the interval, or if there is any. Check TOTAL if the user does not take a break (intra-day).

  5. Establish the valuation of hours according to their nature. An hour can range from 1.00 (no increase) to 2.00 (100% increase). Other examples: 1.20 (20% increase), 1.50 (50% increase), 1.70 (70% increase).

  6. Establish the maximum hours compensation period in months and indicate whether and how many days before you want to be notified about hours that may not be compensated within the maximum period.

 

General working hours parameters

 

Fill in the parameter fields so that you do not need to repeat the insertion of information for each timecard completion. The definition of parameters does not affect existing timecards and information can be modified to include a new one. This includes emails to be notified, observations on the time sheet and application, night shift, tolerance and information relevant to the comp time system.

At the WEB ADMINISTRATOR in CONTROLS/TIME CLOCK

  1. Click PARAMETERS

  2. Select an employer. These parameters will be applied to all users under this employer

  3. From here, all actions are optional. You can use only those you want

  4. Add emails that will receive point notifications (HR department, union, etc.)

  5. Fill in the header of the Ponto Sheet

  6. Fill in the complementary timetable information, check the night time and establish tolerance time

  7. Set up compt time
